Free webinar – safety and compliance document management for airlines

The delivery of a safe, quality service to customers is critically important in the high-tech aviation sector, where passengers have never had so much choice. A focus on quality and a safe, efficient passenger experience is what sets the most successful airlines apart. Efficient management of documentation plays a key role in successful delivery and has the added bonus of making regulatory compliance so much easier to achieve and safety audits easier to manage.

The importance of documentation

Arconics AeroDocs Platform - Change Tasks.gif
An airline’s documentation system must be a record of activities that are relevant to its quality management system and clearly linked to quality objectives. The documents must be in a usable format, controlled and continually reviewed, revised and improved. This is a complex task, particularly for an airline with a wide variety of complex documents and an organisational structure that may span the globe.

When the auditors call to check your documentation, they will look at a range of requirements:

  • Does your document system respond to the standard?
  • Is there consistency in naming conventions, look and feel, numbering and formatting?
  • Do the procedures describe what’s happening?
  • Is the documentation controlled?
  • Are all employees informed?
  • Are the procedures followed? By everyone? All the time?
  • Is there objective evidence that the procedures are being followed?

AeroDocs Airline Document Management System is designed to actively assist with all key audit requirements so that conformance with safety and other audits becomes a useful and productive element of management, no longer a time-consuming chore. Critically, AeroDocs is designed to be so easy to use, with an intuitively-designed front end hiding the complexity of a powerful XML editor at the back end.

IATA – Safety is Number One Priority

IATA, the International Air Transport Association, has identified safety as its number one priority and is committed to making flying even safer. IATA, which airlines join voluntarily, supports airline activity and helps formulate industry policy and standards along with the other regulatory bodies, from the UN’s ICAO, through the US FAA, the EU’s EASA and national CAAs. Safely connecting people and businesses continues to be IATA’s top priority. IATA works with airlines and industry partners in raising standards and implementing best practices. And the figures speak for themselves. Airlines who take part in IATA’s IOSA safety audit programme have, on average, 2.5 times less accidents than non-members.

Qatar Airways Goes Live with AeroDocs Documentation Management by Arconics

Airline introduces fully-integrated web-based hosting of policies and manuals for real-time access and authoring

Qatar Airways and subsidiary companies all using live web documentation management

PRESS RELEASE – FOR IMMEDIATE RELEASE

21 November 2016

DUBLIN, Ireland

The Qatar Airways Group has gone ‘live’ with a state-of-the-art documentation management system to enable the airline and its subsidiaries to host and share corporate manuals and policies with staff in real-time.

Qatar Airways has implemented AeroDocs software from Arconics, a ViaSat company, to provide a single centralised repository to revise and track all operational and non-operational company manuals and documentation for operational readiness. The ability to create, author, edit and mark all changes in a visible manner over the web enables team members to easily keep abreast of, and be alerted to, relevant procedural modifications as and when they happen.

A350-Qatar-Airways-Arconics-AeroDocs-6.jpgFrom a safety and security standpoint, the carrier has been pro-active in following an IOSA recommendation to have documentation managed under “a centralised corporate scheme of document hierarchy”. The system provides the tools necessary to establish a routine regulatory compliance programme.

Qatar Airways administrators now have real-time visibility of a highly efficient distribution process, which ensures that various outputs such as web browsers, laptops and electronic flight bags, are simultaneously synchronised and all staff have access to the current version of documents. Arconics has integrated AeroDocs into existing Qatar Airways Group systems to minimise the operational overhead, and ensure accuracy of information and consistency across all systems.

Qatar Airways Senior Vice President, Group Safety and Security, Mr. Ashish Jain remarked: “With Qatar Airways’ exponential growth, we invest in technology that will integrate our teams and create efficient platforms that cut across time zones and barriers. With this live corporate documentation management system, the web-based functionality created especially for Qatar Airways, allows us to maintain consistency, regulatory compliance and quality control in a manner that is in line with our business growth plans.”

Furthermore, the system allows authors to collaborate more easily with best-in-class web-based editing functionality and document owners and regulators can manage and approve new revisions seamlessly. With the AeroDocs system, corporate policies and manuals can be viewed from mobile devices and configured for defined user groups too.

qatar-airways-2.jpgThe accessibility of the web-based hosting system allows Qatar Airways to equip its staff with regular updates and ease of access to review essential corporate manuals and provides the tools to establish a routine regulatory compliance programme. Qatar Airways employees will be further trained on the system via an innovative digital learning module blended with brief instructor led workshops.

Arconics Chief Executive Officer, Mr. Niall O’Sullivan remarked: “Success in safety and compliance depends on shared knowledge that is communicated via an airline’s documentation. By enabling subject matter experts to collaborate more effectively and providing real-time tracking and management of the publication and distribution process, we strengthen safety and compliance across the enterprise.

“One of the most satisfying elements of this successful deployment of AeroDocs has been the high level of collaboration between the Qatar Airways project team and the project managers and developers at Arconics. By working closely together, we have built a system that will keep Qatar Airways at the leading edge of safety and compliance for many years to come.”

AeroDocs, the safety and compliance document management system for aviation is now available for deployment to airlines worldwide. AeroDocs will be demonstrated at the 10th Annual Flight Ops Conference, LHR, 29-30 November 2016.

AeroDocs-DMS-World-Aviation-Safety-Summit-Arconics

Meet Arconics at the 4th Annual World Aviation Summit, Dubai, UAE, 25 – 26 April 2016

AeroDocs-DMS-World-Aviation-Safety-Summit-Arconics

Safety is paramount in the global aviation industry and Arconics software helps airlines and organisations across the sector to ensure that safety and regulatory compliance are more easily managed. That’s why we’ll be attending the 4th Annual World Aviation Summit in Dubai this April.

AeroDocs Document Management System can assist airlines to specifically deal with two of the key identified safety issues:

1. Crew Resource Management

It is essential that there is clear and assertive communication among all those involved in the flight. AeroDocs Distributor makes it so much easier to assign documents, forms and notices to crew and for crew to communicate issues back to ground ops. Positive outcomes in safety audits are more easily achieved as the ‘paper’ trail is quickly generated on demand.

2. Safety Information Sharing

It is essential that a safety management system includes tools for sharing information held by the civil aviation authority and the individual organisations within the aviation industry, promoting a government/industry partnership. Advanced tagging means that operations manuals can be associated with CAA, EASA and FAA regulations. Updates to regulations can be notified to users and user groups and the two-way flow of information is more easily managed.

AeroDocs is truly the nextgen airline document management system and we look forward to meeting you at the World Aviation Safety Summit 2016 so that you can fully appreciate its capabilities.
